OXFORD EXECUTIVE TRANSPORTATION
Terms and Conditions of Service
These Terms and Conditions apply to reservations and transportation services provided by Icon Executive, LLC d/b/a Oxford Executive Transportation (“Oxford Executive Transportation,” “OET,” “Company,” “we,” “us,” or “our”).
By submitting a reservation online, electronically approving a reservation, paying a deposit or invoice, or using our services, the customer agrees to these Terms and Conditions.
1. Airport Transportation / Point-to-Point Transfers
Airport transportation is a point-to-point transfer within our service area with no intermediate stops unless otherwise approved in writing.
Service is subject to availability. For airport and point-to-point transfers, OET allows fifteen minutes to load from the requested pickup time or from our actual arrival time if we arrive after the requested pickup time. After fifteen minutes, overtime or wait-time charges may apply at the applicable hourly or overtime rate.
2. Cancellation and Change Policy
All confirmed reservations are final.
Once a reservation is confirmed, it is non-cancellable and non-changeable unless written approval is granted by a company manager at OET’s sole discretion.
Payments, deposits, and reservation charges are non-refundable unless otherwise approved in writing by OET.
Reservations for holidays, proms, concerts, sporting events, Ole Miss game day weekends, and other special events are strictly non-cancellable and non-refundable without exception unless written approval is provided by a company manager.
Any cancellation or change request must be submitted in writing. A request is not approved unless OET provides written confirmation of approval.
3. Mechanical Breakdown / Service Interruption
The Company is not liable for delays, service interruptions, or termination of service caused by mechanical breakdown, unsafe road conditions, weather, accidents, traffic, road closures, acts of God, or other circumstances outside of the Company’s reasonable control.
In the event of a mechanical breakdown during service, the Company’s responsibility is limited to making reasonable efforts to provide substitute transportation or make up lost service time at a mutually agreed date, at OET’s discretion.
4. Customer Responsibility for Damage
The customer assumes full financial liability for any damage caused to a vehicle by the customer or any members of the customer’s party.
Damage and cleaning fees may include, but are not limited to:
- $3,000.00 for each carpet or seat burn.
- $1,550.00 for sickness, vomiting, or biohazard cleaning, whether interior or exterior.
- $20.00 for each broken glass or item of glassware.
- $2,000.00 for smoke odor removal or neutralization.
Smoking is not permitted in any vehicle. If a customer or passenger smokes in a vehicle, or if there is evidence of smoking, the customer will be responsible for all applicable cleaning and odor-removal fees.
Drug use is prohibited by law. Any fines, penalties, damages, or expenses resulting from illegal conduct will be the responsibility of the customer.
The driver has the right to terminate service immediately and without refund if the customer or any passenger engages in unsafe, unlawful, abusive, destructive, or inappropriate conduct.
Standing through or opening the sunroof is prohibited.
5. Overtime and Waiting Time
Overtime, waiting time, or additional time charges may apply after the prearranged time described on the reservation, run sheet, or booking confirmation.
For transfers, wait time may begin after the allowed loading period. For hourly reservations, overtime may apply after the reserved time period ends.
6. Weather, Road Conditions, and Delays
OET and its affiliated companies are not responsible for delays, service limitations, or termination of service caused by unsafe road conditions, winter weather, flooding, accidents, road closures, traffic, or other conditions beyond the Company’s control.
7. Vehicle Substitution and Affiliates
OET reserves the right to substitute vehicles when necessary, including vehicles from our company-owned fleet or vehicles provided by subcontractors or affiliate transportation companies.
For transfer services, specific vehicles may be requested but are not guaranteed. OET will make reasonable efforts to accommodate vehicle requests, but a similar or greater passenger-capacity vehicle may be substituted at OET’s discretion.
8. Payment Terms
If a balance is due, payment must be made before service begins unless other written arrangements have been approved by OET.
Balances may be required twenty-four hours before the scheduled run if paid by credit card. OET may require payment by invoice, secure payment link, credit card, cash, or another approved method.
Unpaid reservations may be released, canceled, or refused at OET’s discretion.
9. Passenger Capacity
Vehicles may not be loaded beyond their legal seating capacity. The customer is responsible for ensuring the passenger count does not exceed the reserved vehicle’s capacity.
10. Agreement to Terms
Electronic delivery, online submission of a reservation, approval of a quote or invoice, payment of a deposit, or use of OET services constitutes full agreement to these Terms and Conditions.
By submitting a reservation online, the customer represents that they have authority to make the reservation and authorize any agreed charges.
11. Alcohol, Minors, and Passenger Conduct
Persons under the legal drinking age are not permitted to consume alcohol during any service.
Parents, guardians, or booking customers are responsible for the conduct of minors and all passengers in their party.
Any violation of these Terms may result in immediate termination of service, and all amounts paid may be forfeited.
12. Chargebacks and Disputed Payments
Any payment disputed through a bank, credit card company, or chargeback process may be subject to a 25% collection fee calculated on the full reservation amount.
Accounts involving unpaid balances, disputed payments, chargebacks, damages, or collection issues may be turned over to a third-party collections agency or pursued through legal remedies.
13. Messaging Terms and Conditions
If you opt in to receive text messages from Icon Executive, LLC d/b/a Oxford Executive Transportation, you may receive transactional reservation-related messages, including reservation request updates, approval and payment links, confirmations, pickup reminders, trip updates, receipts, and review links.
Message frequency varies. Message and data rates may apply.

Consent to receive text messages is not required to submit a reservation request or purchase services.
14. Governing Law and Attorneys’ Fees
This agreement shall be governed by and construed under the laws of the State of Mississippi.
If any provision of this agreement is found to be unenforceable, the remaining provisions shall remain in full force and effect.
In the event legal action is taken by either party to enforce any terms of this agreement, the prevailing party may be awarded court costs, reasonable attorneys’ fees, and expenses to the extent permitted by law.
